OTA BY-LAWS

 

 

·         {C}0.0 All members are required to follow and enforce these rules. Do not discard these rules - bring them with you to your matches. You are solely responsible for them while you are a member of the OTA and are playing an OTA sanctioned match. Call your Vice-President if you have any questions.

·         {C}1.0 ASSOCIATION OBJECTIVE. The OTA's primary objective is to promote the play of organized and inexpensive tennis.

·         {C}2.0 OTA BOARD. A volunteer who performs the duties of the President, Men's or Women's Vice-President, Secretary and Treasurer as detailed under Responsibilities. A majority vote of the Board is necessary to revise or change OTA By-Laws.

·         {C}3.0 CAPTAIN/CO-CAPTAIN. A volunteer who manages an OTA sanctioned league as detailed under Responsibilities.

·         {C}4.0 MEMBER. One who joins OTA and performs their duties as detailed under Responsibilities.

·         {C}4.1 ACTIVE. A current year officer and/or league captain or one who has paid their current year dues.

·         {C}4.2 INACTIVE. One who does not fit the above definition of an active member. A previous officer, captain or member.

·         {C}5.0 PAYING POSITIONS. No offices of the OTA are paid.  This is a volunteer not-for-profit organization.

·         {C}6.0 PRESIDENT'S RESPONSIBILITIES. Oversee the OTA, its officers, captains/co-captains, and members; arrange periodical meetings with the OTA Board; attend all Board meetings; provide input to Secretary for all newsletters; responsible for final approval of all newsletters, attend and co-chair Awards Party; reserves the right to delegate responsibility for any Board approved extra-curricular events/activities at such time that may be decided; chair all meetings of the Board; promote the OTA.

·         {C}7.0 SECRETARY'S RESPONSIBILITIES. Attend all Board meetings and record notes; draft and finalize all newsletters from inputs; provide final typed copy of all newsletters to appropriate officers for distribution; update membership files and OTA Official Roster; provide appropriate officers with mailing labels when needed for newsletter mailings; provide appropriate league captains with email address/phone list of current year paid members when needed; maintain OTA files; promote the OTA.

·         {C}8.0 TREASURER'S RESPONSIBILITIES. Attend all Board meetings; collect and deposit all dues; handle all banking transactions; provide input to Secretary for newsletters as necessary; provide the Board with funds' status at meetings; receive officer/captain/chairperson expense logs and reimburse accordingly; balance checking account and maintain accurate banking files; promote the OTA.

·         {C}9.0 MEN'S VICE-PRESIDENT'S RESPONSIBILITIES. Attend all Board meetings; 2nd level in Grievance Chain, (unless directly involved); OTA Super Saturday/Sunday Tournament Chairman; update and mail advertisements for printing in February's Asbury Park Press; responsible for assisting Secretary with Newsletters; interact with the captains throughout the season to ensure leagues are running smoothly and timely; report to the President as to the progress of the leagues; report any discrepancies to the President as they arise; call captains for final standings and responsible for Awards Distribution; promote the OTA.

·         {C}10.0 WOMEN'S VICE-PRESIDENT'S RESPONSIBILITIES. Attend all Board meetings; 2nd level in Grievance Chain, (unless directly involved); OTA Super Saturday/Sunday Tournament Chairwoman; responsible for assisting Secretary with Newsletters; interact with the captains throughout the season to ensure leagues are running smoothly and timely; report to the President as to the progress of the leagues; report any discrepancies to the President as they arise; call captains for final standings and responsible for Awards Distribution; promote the OTA.

·         {C}11.0 LEAGUE CAPTAIN RESPONSIBILITIES. Attend Board meetings when requested; responsible for smooth and timely running of league; responsible for adherence to deadlines (all leagues must be completed as determined by the Board); record players' scores as reported; 1st level in Grievance Chain in the attempt to settle discrepancies if they arise and report them to the appropriate VP; report league status & final standings to the VP when requested; promote the OTA.

·         {C}12.0 MEMBER/PLAYER RESPONSIBILITIES. Pay dues before deadline; if applicable, pay late fee before deadline; sign-up for leagues by deadline; be considerate of other players; follow OTA and tennis rules; promote the OTA.

·         {C}12.1 PLAYER AGREEMENT. All OTA members, as a condition of their membership, agree to abide and be bound by the OTA By-Laws, the standards of good conduct, fair play, and good sportsmanship. Failure to do so may result in suspension from the OTA and its associated leagues and events, as well as exclusion of membership in OTA the following year.

·         {C}13.0 WAIVER OF CLAIMS. All players participating in the OTA, as a condition of their membership, agree for themselves, their executors, administrators, heirs, and personal representatives, that all claims of every kind, nature and description are WAIVED, including past, present and future claims, for injuries sustained in traveling to/from or participating in the OTA, as against the OTA, its Officers, Captains, Committees, Members, and all Sponsors of the OTA.

·         {C}14.0 GRIEVANCE CHAIN. League Captain, Men's/Women's Vice-Presidents, President. If a player has a discrepancy, it will be brought to the attention of the League Captain, (unless directly involved), who will attempt to solve it. The Captain will notify the appropriate VP about all discrepancies. The VP will in turn notify the President. If it cannot be resolved at the Captain and/or VP level, the President will then bring it to the Board for resolution.

·         {C}15.0 MEMBERSHIP REGISTRATION. Any person wishing to play in an OTA league must mail the OTA Membership Registration Form (with dues) by the deadline date. Membership includes League play in one or more Leagues, Kick-Off Party, Super Saturday/Sunday, discounted rates on US Open Bus Trips, access to lessons, clinics, and winter indoor leagues.

·         {C}16.0 FEES:

·         {C}16.1 DUES - Any person wishing to play in an OTA league must pay the yearly membership dues when sending in the Membership Registration Form. The Board and Captains are exempt from paying dues.

·         {C}16.2 LATE FEE - A late fee of $10.00 will be issued for all Membership Registration Forms (dues) not postmarked by the deadline. Those received postmarked after the deadline will be notified to pay the $10.00 Late Fee and will not be permitted in a league until done so.

·         {C}17.0 LEAGUES:

·         {C}17.1 ADULT LEAGUE - Singles & Doubles: Men's A,B,C; Men's 40 ; Men's 50 ; Women's A,B,C; Women's 40 ; Women's 50 ;; Mixed A,B,C, Mixed 40, Mixed 50.

·         {C}17.2 JUNIOR  CLINICS & LEAGUE - Junior membership includes discounted clinic pricing followed by Singles & Doubles League Play, plus discounted pricing for US OPEN Bus Trips

·         {C}18.0 LEAGUE SIZES. Every player will be responsible for playing a minimum of 5 matches.

·         {C}19.0 AGES. Juniors - 5 to 18 years of age, provided still enrolled in high-school Adults - 18 years of age and older

·         {C}20.0 RATINGS AND PLACEMENT. All players refer to the USTA Self-Rating Guidelines. The OTA suggests that players rated 4.0 and above enter the "A" divisions, players rated 3.5 enter the "B" divisions and players rated 3.0 and below enter the "C" divisions. The Board reserves the right to move a player up or down based on past performances.

·         {C}21.0 AWARDS. Trophies will be given to 1st and 2nd place winners.

·         {C}22.0 CONTACTING PLAYERS. Every player has the responsibility of contacting their opponents to arrange matches. If after the second attempt no response is received, a call to the appropriate Captain must be made to inform them of the situation. The Captain will then attempt to contact above mentioned opponent. If there is no response to the Captain's attempt, the said opponent will forfeit the match.

·         {C}23.0 VACATIONS. If your vacation is longer than seven days, you must inform your appropriate Captain.

·         {C}24.0 CANCELLATIONS. If you must cancel a scheduled match, a 24 hour text or email must be sent to your opponent. A 2nd cancellation results in an automatic forfeit of the match. Rainouts and emergencies are excluded~if approved by Captain.

·         {C}25.0 WARM-UP. You are allotted 10 minutes to warm-up before a match shall begin.

·         {C}26.0 TARDINESS. If any of the players are more than 30 minutes late for a scheduled match, the match will be forfeited.

·         {C}27.0 MATCHES. A match is the best of 3 sets with regular scoring (deuce/add). A 12-point tiebreaker will be played at 6 games all, with the first player/team to obtain 7 points, (win by 2) winning the set. The player who receives first in the tiebreaker will serve first in the next set.

·         {C}28.0 BALLS. A new can of balls is to be brought by both players/teams. They are to be presented at the beginning of the match. The winner of the match takes home the unopened can and the used can goes to the losing player. The first set of your match will be forfeited if you do not bring balls. In the event of a 3rd set, any player may request a new can of balls.

·         {C}29.0 RESULTS. Players are responsible for notifying their appropriate Captain of their results within 24 hrs. of the match's conclusion. Every Win is worth 2 points, every loss is worth 1 point, matches not played are worth 0 points.  Final standings are determined by the number of points you have earned.  The top 4 players in each league will play semi-fianls and finals to determine who gets the trophy!!
